Who we are
VE Creative (“we”, “us”) is a growth agency based in San Juan, Metro Manila, Philippines. We work online with clients in the Philippines and abroad.
This policy explains what personal information we collect through ve-creative.com and in our work with clients, and what we do with it. For questions or requests, email hello@ve-creative.com.
What we collect
When you send us a message. Your name, work email and company, the service you are interested in, and what you tell us about your goals.
When you build an estimate, ask for a quotation or place an order. Your name, work email and company, the services and packages you chose, the currency, and billing details if you give them for an invoice. If you place an order, we also record when you agreed to our Terms of Service.
When you pay. Online payments are made on PayPal’s own page. We never see or store your card or bank details. PayPal tells us that the payment went through, the amount and a transaction reference. If you pay by QR code, we keep the reference number you give us from your receipt.
When you become a client. What you send us for the work, such as brand files, text and images. The access you give us to your website or accounts. How you chose to start (a discovery call or creative freedom). Our emails and notes about the project.
Automatically.
- Like most websites, our hosting provider keeps standard server logs, such as IP address, browser type and pages requested, for security and troubleshooting.
- To stop spam, we briefly use your IP address to limit repeated form submissions. It is kept only in scrambled form, for about an hour.
- To show prices in your currency, we estimate your country from your device’s time zone or your connection. We do not store it.
If we contact you first. We sometimes reach out to businesses we think we can help. For this we use business contact details that are publicly available, such as on a company website: a name, role, company and work email.
We do not ask for sensitive personal information, such as health or financial account details. Please do not send it to us, and never send passwords by email.
How we use it
- To reply to your message and prepare quotations.
- To process your order and payment, and to send confirmations, invoices and your onboarding kit.
- To deliver the services you ordered and keep in touch about the work.
- To keep accounting and tax records.
- To prevent spam and misuse and keep the website secure.
- To tell businesses about our services. You can ask us to stop at any time, and we will.
We do not sell personal information. We do not make decisions about you by automated means alone.
Our legal grounds
If you are in the European Union, the United Kingdom or another place with similar laws, we rely on these grounds:
- Contract: to do what you ask before an order, and to deliver what you ordered.
- Legitimate interests: to answer enquiries, run and protect the website, improve our services and contact businesses about them.
- Legal obligation: to keep accounting and tax records.
- Consent: where we ask for it. You can withdraw consent at any time.
Who we share it with
We share personal information only with companies that help us run the business, and only what they need:
- PayPal, to take payments.
- Our website hosting and email providers, which store and deliver our website, records and emails.
- The platforms you ask us to work in for you, such as your website, advertising or social media accounts.
- Professional advisers, such as our accountant or lawyer, when needed.
- Authorities, when the law requires it.
[Choose one and delete the other. A: “We use Google Analytics, through Google Site Kit, to understand how visitors use the website. Google receives information such as pages viewed, device type and approximate location.” B: “We do not use analytics or advertising tools that track visitors.”]
Cookies and what is saved on your device
- The cost estimator saves your selections and the details you type, such as your name, email and company, in your own browser. That way they are still there if you come back. This stays on your device and is not sent to us until you place an order or ask for a quotation. You can remove it by clearing this website’s data in your browser.
- We do not use advertising cookies.
- Signing in to our admin area uses cookies, but visitors who do not sign in do not get them.
Where your information is kept
We are based in the Philippines. Our providers may store and process information in other countries. Wherever it is kept, we protect it as this policy describes.
How long we keep it
- Messages and quotations that do not lead to an order: up to [2 years] after we were last in touch.
- Client and order records: for as long as you are a client, then [5 years] to meet accounting and tax rules.
- Outreach contacts: until you ask us to stop. After that we keep only what we need to make sure we do not contact you again.
- Access to your accounts and the files you sent us: we stop using them when the work ends, and remove them on request.
How we protect it
Only people who need personal information for their work can see it. The website uses an encrypted connection (HTTPS), and payments are handled on PayPal’s own page. No system is completely secure. If a breach affects your information, we will tell you and the authorities as the law requires.
Your rights
You can ask us to:
- show you the personal information we hold about you, and give you a copy;
- correct it;
- delete it;
- stop or limit how we use it, including for outreach;
- send it to you or another provider in a common format;
- withdraw any consent you gave.
Email hello@ve-creative.com. We reply within 30 days and may need to confirm who you are first. We may have to keep some records, such as invoices, where the law requires it. Depending on where you live, you may have other rights under local law, and we respect them.
If you are unhappy with how we handled your information, you can complain to a data protection authority. In the Philippines that is the National Privacy Commission. In the European Union or the United Kingdom it is your local data protection authority, in Australia the Office of the Australian Information Commissioner, and in Canada the Office of the Privacy Commissioner.
Children
Our services are for businesses and are not aimed at anyone under 18. We do not knowingly collect information about children.
Changes to this policy
We may update this policy. The date at the top shows when it last changed. If a change affects how we use your information, we will tell our clients by email.
